Service Co-ordinator

We are looking for a confident, highly organised Service Co-ordinator to support the day-to-day management of service jobs, support the contracts team and keep complex, fast-moving work on track for customers.

Role overview

As Service Co-ordinator, you will sit at the heart of the service operation, managing jobs from initial enquiry through to invoicing and aftercare, ensuring every customer receives a high standard of service. This is a busy, fast-paced role where prioritising competing demands, maintaining exceptional attention to detail and communicating clearly with both customers and engineers is essential. You will be office-based, working closely with Contracts Managers and colleagues across the business to deliver best-in-class service to an extensive customer base.

Key responsibilities

  • Support a portfolio of service jobs “cradle to grave”, including contracted and reactive works, using the company’s CRM system to keep every job on track.
  • Engage with customers to understand their preventative and reactive service requirements, assess urgency and respond with appropriate speed, accuracy and professionalism.
  • Plan, forecast and schedule upcoming works with the operations team, aligning customer expectations with available engineering resource.
  • Generate and administer job documentation, including RAMS and work packs, so engineers have the right information before attending site.
  • Arrange and track all materials, parts, logistics, travel and accommodation linked to service jobs, liaising with suppliers, couriers and internal teams as required.
  • Prepare completed jobs for invoicing, ensuring all labour, services and materials are captured and correctly documented.
  • Act as a “power user” for the CRM, keeping data accurate and up to date and producing reports to support KPI tracking and continuous improvement.

Skills and experience

  • Experienced in service or job management within a busy office environment, ideally gained in an engineering or technical services setting.
  • Strong organiser with the ability to multitask, prioritise and stay calm and focused when working under pressure.
  • Excellent communicator with a professional telephone manner and the confidence to liaise with customers, engineers and suppliers.
  • High level of accuracy and attention to detail in documentation, scheduling and data entry, with solid IT skills across Word, Excel and other office software.
  • Comfortable using CRM or job management systems and working with processes, reports and KPIs.


Hours, salary and development

Full-time role, Monday to Friday, 8:00am to 5:00pm.

Salary in the region of £32,000 – £35,000, depending on experience.

 

Comprehensive training on our services, systems and processes, with the opportunity to build specialist knowledge in steam engineering over time.
